Information Collected About You

HotSpot Management collects personally identifiable information about you that you specifically and voluntarily provide. Personally identifiable information includes information that can identify you as a specific individual, such as your name, phone number, or e-mail address. Although you are required to register as a member of HotSpot Management in order to use selected reservation tools, and some personally identifiable information is needed in order to process and fulfill reservation requests, many areas of HotSpot Management can be accessed without providing any personally identifiable information.

On all HotSpot Management pages that collect personally identifiable information, we specifically describe what information is required in order to provide you with the product or service you have requested.

Member Information

HotSpot Management collects your Member ID, password, e-mail address, full name and contact number when you register to become a renter member of our Web site.

For members that register as owner or property manager members, HotSpot Management collects the billing address of the credit card that is used to purchase services. We will also collect credit card information, including card number, card type, cardholder name, and expiration date, in order to bill you for services purchased through HotSpot Management.

Billing address and credit card information is optional for members that register as renters until they choose to book a reservation online or make online payments.

Property Profile Information

HotSpot Management collects the property address when you register a property.

Inquiry Information

HotSpot Management collects your Member ID, full name, e-mail address, and contact number (optional) when you inquire on a property on our site.

Send To Friend Information

HotSpot Management collects your Member ID, full name, e-mail address, and e-mail addresses of the friends you are sending the property information to. You should obtain the consent of the individuals you send the property information to prior to providing HotSpot Management with their e-mail addresses, as they will be unable to directly access our systems to view or change any information you provide on their behalf.

Online Reservations Information

HotSpot Management collects the billing address of the credit card that is used to make a reservation. We will also collect credit card information, including card number, card type, cardholder name, and expiration date, in order to bill you for reservation booked through HotSpot Management.

Online Payments Information

HotSpot Management collects the billing address of the credit card that is used to make a payment. We will also collect credit card information, including card number, card type, cardholder name, and expiration date, in order to bill you for the services provided through HotSpot Management.

Contests And Sweepstakes Information

Occasionally, HotSpot Management may offer our members and site visitors an opportunity to participate in a contest or sweepstakes. Information collected by HotSpot Management when you participate in a contest or sweepstakes may include your full name, e-mail address, and street address.

Surveys

HotSpot Management may offer our members and site visitors an opportunity to participate in surveys regarding their experience with our site. For our members, we may also send these surveys via e-mail. You are under no obligation to respond to any survey, and you may unsubscribe from receiving these e-mail surveys by following the unsubscribe instructions in any e-mail survey you receive. Information collected by HotSpot Management when you participate in a survey may include your full name, e-mail address, and street address.

Contacting HotSpot Management

HotSpot Management may collect personally identifiable information such as your full name, Member ID, e-mail address, and/or contact number whenever you submit a question or suggestion, or request assistance with logging on to HotSpot Management, or accessing your account.

Our Advertisers

Although we advise HotSpot Management property advertisers of our privacy policies they may have different privacy policies and practices than HotSpot Management. We encourage you to review property advertisers’ privacy policies to further understand their procedures for collecting, using, and disclosing your information.

Some information is collected automatically every time you visit HotSpot Management (e.g., cookies and computer information). In addition, information may be collected from other independent, third-party sources.

Cookies And Other Web Technologies

When you visit HotSpot Management we collect information about your computer and assign you a "cookie" (a small, unique identifier text file). You do not provide this information—it is collected automatically as a means of supporting your visit to our site. This cookie does not contain any personally identifiable information. You can always choose to not receive a cookie file by enabling your Web browser to refuse cookies or prompt you before accepting a cookie. Be advised that, by refusing to accept a cookie, you may not be able to access some services and tools offered by HotSpot Management.

When you access the Account Information or Property Management areas of the HotSpot Management Web site, reserve or purchase properties, or use selected property management tools, HotSpot Management requires you to sign in as a member, using your Member ID and password. Once you sign in as a HotSpot Management member, we record the Member ID and the name on the member account in the cookie file on your computer. We may also record your password in this cookie file if you checked the box entitled "Save this password for automatic sign-in." Your Member ID, password, and the name on your member account is stored in the cookie file as encrypted data, so no one can view the information it contains by obtaining unauthorized access to your computer. Permanent cookie files remain on your computer's hard drive until you manually delete the file.

A cookie file may also be placed on your hard drive by HotSpot Management’ third-party advertising companies. These companies may use aggregated statistics about your visits to this and other Web sites in order to provide advertisements about travel-related goods and services that you may be interested in. The information they collect does not include your personally identifiable information.

The third-party advertising companies may also employ technology that is used to measure the effectiveness of ads. This is primarily accomplished through the use of a Web beacon (a single-pixel GIF), which is placed on our site to collect anonymous information. They may use this anonymous information about your visits to this and other sites in order to provide advertisements about goods and services of potential interest to you. No personally identifiable information is collected during this process. The information is anonymous and does not link online actions to an identifiable person.

Computer Information

HotSpot Management collects certain technical information from your computer each time you request a page during a visit to HotSpot Management. This information is collected from your computer's Web browser to enhance your experience on our site and may include your IP address, operating system, Web browser software (i.e., Netscape Navigator or Internet Explorer), screen resolution, and referrer Web site.

Information From Other Sources

To improve services and enhance personalization, we may periodically obtain information about you from other independent third-party sources and add it to our account information. Additionally, authorized HotSpot Management personnel may update your profile to accurately reflect any new profile information included in communications received from you.

Use Of Your Information

Information collected on HotSpot Management may be used to:

  • Register you as a HotSpot Management member
  • List a rental property
  • Locate, book, and pay for a rental
  • Send marketing communications or surveys to you
  • Respond to your questions or suggestions

Member Registration Information

When you register to become a member of HotSpot Management, we use your information to create your member account. You will then receive a "Welcome to HotSpot Management" e-mail that contains your Member ID and describes the benefits of using HotSpot Management for planning and booking rental properties.

In addition, information collected from you when you register as an owner/property manager member is used to bill your credit card and deliver your confirmation packet, either electronically or through the mail.

Property Listing Information

When you register a property to list on HotSpot Management, we use your information to create the new rental profile. You will then receive a "New Property Confirmation" e-mail that contains your Member ID and describes the benefits of using HotSpot Management for advertising and renting your rental properties.

Rental Locating, Booking And Paying Information

Information collected when you complete your profile and/or complete property inquiry forms is used to communicate with rental managers and confirm and process your property reservation. In addition, information collected from you when you book a property is used to bill your credit card and deliver your reservation itinerary, either electronically or through the mail.

Marketing Notifications

As a registered HotSpot Management member, you may receive e-mails from us about special promotions, surveys, contests, sweepstakes, or other vacation opportunities on HotSpot Management and its marketing partners. If you choose to receive our specials service, your e-mail address will also be used to notify you of current specials to properties you have selected. We may also use your e-mail address or telephone number to contact you about changes to your vacation itinerary. To assess the effectiveness of these e-mails, we may attach a Web beacon that provides confirmation when you open an e-mail from HotSpot Management. This only occurs if your computer supports such technology.

You may also receive postal mail notifications from us about special promotions, surveys, contests, sweepstakes, or other vacation opportunities on HotSpot Management and its marketing partners. E-mail or postal marketing notifications containing offers for our marketing partners will be sent by HotSpot Management on our partners' behalf.

E-mail addresses supplied in the “Send to Friend” forms will be used to send an e-mail communication to the individual. The email contains a link to the designated property and information about HotSpot Management.

Responses To Your Questions Or Suggestions

We will use your e-mail address or telephone number to respond when you submit a question or suggestion, or request assistance with logging on to HotSpot Management, or accessing your account.

Improving The Quality Of Your Visit To Our Site

We collect certain information (e.g., vacation information) based on your navigation of our site in order to better understand and serve our customers. This data allows us to streamline your ability to navigate the site and develop featured programs and content that will be of interest to our members and site visitors. No personally identifiable information is collected unless you explicitly provide it.

This information can also be used to display targeted advertisements. Advertisement information is taken from data you explicitly provide on the HotSpot Management Web site, such as a rental location. No personally identifiable information is used to deliver targeted advertisements.

Sharing Your Information

HotSpot Management does not sell or rent your personally identifiable information to anyone.

Service Providers

To provide and process the services you request, HotSpot Management shares your personally identifiable with our authorized service providers that perform certain services or functions on our behalf. Our service providers need information about your profile, as well as your credit card information, to process and confirm your property reservation. These service providers will disclose information about your profile to other suppliers whose products you have purchased. This information must be shared with our suppliers to confirm your reservation and preferences. We have not placed limitations on these suppliers from using or disclosing your information without your permission. Therefore, we encourage you to review the information privacy practices of any suppliers whose services you purchase on HotSpot Management. In addition, these suppliers may also contact you as necessary to obtain additional information about your confirmed reservation.

HotSpot Management will occasionally share aggregated information with our service providers. This information does not contain any personally identifiable information and is used to develop featured programs and content that will be of interest to our members and site visitors.

In the event that you make a new, or update an existing, reservation by calling our toll-free number, your information may be accessed by a third-party service provider, as necessary, to respond to your request for customer service.

HotSpot Management may contract a reputable third party to facilitate the distribution of survey, promotion, or sweepstakes programs. Upon completion of these projects, all information is returned to HotSpot Management.

Trusted Business Partners

In addition, we have partnered with various third-party Web sites to offer HotSpot Management services. These trusted third-party companies have added rental sections to their Web sites in order to offer HotSpot Management provided rental services. We will not share any of your personally identifiable information with these trusted third-party companies unless you choose to have this information disclosed.

Our Obligations

HotSpot Management may be required by law to disclose information you have provided in obtaining our rental products or services. HotSpot Management may also disclose information against someone who poses a threat to HotSpot Management' interests (such as customer fraud) or whose activities could bring harm to others. In addition, it may be necessary for HotSpot Management to provide customer information to third parties, such as credit card companies, for the purpose of resolving disputes that arise in the normal course of business.

There are several places throughout HotSpot Management that may link you to other Web sites that do not operate under HotSpot Management information privacy practices. HotSpot Management believes that members and site visitors should have control over the collection and use of their personally identifiable information. You have access to your information in the following areas of HotSpot Management:

Account Information

The Account Information section on HotSpot Management allows members to view and change their account settings. The General Information page lets you change your full name, company name, phone number, and email address. The Address Information page allows you to modify your billing and shipping addresses. The Payment Information page allows you to update your profile with your credit card information. You can also change your password and elect to have an automatic password sign-in when logging on to HotSpot Management. The notifications page allows you to subscribe or unsubscribe to the specials e-mail promotional and newsletter notification services.

Property Management

The Property Management section on HotSpot Management allows members to view and change the profiles for their properties. The Address page is the only page that contains personally identifiable information. On this page you can modify the address for the property.

Reservations

The Reservations page on HotSpot Management allows members to view, update, or delete reservations for their properties.

Communications From HotSpot Management

Members will receive communications from HotSpot Management when they:

  • Sign up to become HotSpot Management member

Sign Up To Become HotSpot Management Member

Request To Close Or Update An Account

When you complete an Account Closure request or modify your account information (e.g., update your e-mail address), we will send you a confirmation e-mail.

Add Or Make Changes To Properties

Each time you modify your property profile (e.g. change the description, subscribe to services), we will send you a confirmation e-mail.

Make An Inquiry On A Property

Each time you send an inquiry on a property, we will send you a confirmation e-mail.

Send Information To A Friend On A Property

Each time you send a friend information on a property, we will send them an email with the property information.

Make A Reservation

Each time you make a reservation through HotSpot Management, or change or cancel a confirmed reservation, you will receive confirmation of your itinerary via e-mail.

Make A Payment

Each time you make a payment through HotSpot Management, we will send you a receipt of your purchase via e-mail.

Elect To Receive Fare Special Promotional Marketing Communications

As a registered HotSpot Management member, you will occasionally receive e-mails notifying you of special promotions or other news. Special promotional e-mails are intended to inform you of new or unique opportunities or special deals that are available on HotSpot Management. If you have purchased services, you may also receive an e-mail that provides information about your destination, such as weather conditions, current events, or items of interest. You can opt out of your subscription to HotSpot Management’ promotional e-mail services at any time on the Account Information page under the heading "Notifications."

In addition, you will occasionally receive postal mail notifying you of special promotions or other news. We want our members and site visitors to feel confident about using HotSpot Management to advertise, locate and reserve rental properties, so we are committed to protecting the information we collect. HotSpot Management has implemented a security program to keep information that is stored in our systems protected from unauthorized access. Currently, HotSpot Management only stores the information you provide when registering to become a HotSpot Management member, create a property profile, reserve properties, or subscribe to services.

Our systems are configured with data encryption, or scrambling, technologies, and industry-standard firewalls. When you send personal information to HotSpot Management over the Internet, your data is protected by Secure Socket Layer (SSL) technology to ensure safe transmission.

HotSpot Management has also obtained a digital certificate from Thawte, a fully backed company of Verisign(a top maker of hardware and software used to protect and manage computer network access). To view this site certificate on each secured page, click on the image of the closed lock or the solid key on the bottom bar of your browser window. A small frame displaying site security information will pop up.
